Swimming and Gymnastics Terms and Conditions

To ensure the effective operation of Ffit Conwy facilities, we kindly request that all members read and adhere to the following Membership Terms and Conditions.

Ffit Conwy is the leisure services division of Conwy County Borough Council. References to “we,” “us,” or “Ffit Conwy” within these terms and conditions refer to Conwy County Borough Council. All memberships constitute a contractual agreement between the member and Conwy County Borough Council. 

For members paying by Direct Debit, payments are collected on the 16th or 28th day of each calendar month, or on the next working day if these dates fall on a weekend or public holiday. If a Direct Debit payment is returned unpaid, we reserve the right, under BACS regulations, to re-present the payment request at any time within one month of the original charge, without prior notice. 

Memberships are strictly non-transferable and may only be used by the individual named on the membership record. If another person is found using a membership not registered to them, the membership may be cancelled immediately and access to facilities denied. No refunds will be issued for any unused portion of the membership. We reserve the right to terminate any membership at any time without notice.

Starting the Membership

Prior to the commencement of your membership, you must complete a customer and membership application form. Failure to do so will result in the membership being suspended or cancelled, and any fees paid will not be reimbursed. 

All fees must be paid in full before participation in the Ffit Conwy “Learn to Swim” or “RISE Gymnastics” programme. If paying by Direct Debit, an initial pro-rata payment will be required to cover the period from the joining date until the next scheduled Direct Debit collection. Current pricing information is available at the Ffit Conwy reception. 

Direct Debit payments cover the upcoming calendar month and operate on a rolling basis with no fixed end date. Personal details provided during registration will be securely stored in our membership system and used solely for communication and membership administration. All Direct Debit collections are processed directly by Conwy County Borough Council.

Conditions of Use

Memberships are strictly non-transferable and may only be used by the individual named on the membership record. New participants may join swimming or gymnastics lessons at any time, subject to availability. 

Once payment has been made for lessons, refunds or reimbursements will not be issued unless the absence is supported by a signed doctor’s note or a valid medical exemption certificate. In such cases, any credits due will be applied as a discount against future lesson payments.

To ensure a safe and enjoyable experience for all participants, appropriate attire must be worn at all times. This includes Ffit Conwy gymnastics clothing or equivalent for gymnastics sessions, and swimwear as specified in the “Your Safety in Our Pools” booklet for swimming lessons (this is also displayed on our webpage here: Pool Swimwear).

Each lesson incorporates a five-minute registration and administration period within the scheduled session time to record attendance for health and safety purposes. Class sizes are limited in accordance with the relevant governing body’s guidelines to maintain a high-quality learning environment. 

Parents and guardians are not permitted on the poolside or in the gymnastics room at any time. Progress through the programme is determined by qualified instructors in line with the Swim Wales Learn to Swim Framework and RISE Gymnastics guidelines. Queries about progress should be directed to reception or our Contact Centre teams. 

Participants must be ready to begin at the scheduled start time and must not enter the water or gymnastics area until instructed. Progression varies by individual ability. When a child is ready to move to the next stage, notification will be provided via email and a “Completion Badge Slip.” Lesson changes can be arranged through reception or the Contact Centre. 

The use of cameras or video recording devices, including mobile phones, is strictly prohibited within the facility. Parents or guardians of children under eight years of age must remain on-site for the duration of the lesson.

General Terms

The Swimming and Gymnastics Programmes operate throughout the year for a total of fifty two weeks, excluding a scheduled two week closure during the Christmas period. Direct Debit membership fees are calculated based on fifty weeks per calendar year.

Individuals enrolled in swimming lessons through a Direct Debit membership are entitled to complimentary public swimming for those under the age of sixteen. Children on these subscriptions will also receive a discount on the cost of Sports Camp and Roller Disco sessions. 

Direct Debit payments may be adjusted to account for cancelled lessons as necessary. Members are responsible for ensuring that sufficient funds are available in the nominated account to allow collection of fees on the agreed date. Repeated non-payment will result in the removal of Direct Debit privileges until all outstanding amounts are settled. 

Before commencing lessons, a registration form must be completed. Membership cards remain the property of Ffit Conwy. Upon joining, a photograph of the child will be taken and displayed on the verification screen upon entry. Lost or damaged cards must be replaced at the member’s expense and presented for entry to public swimming sessions. 

Members must notify the leisure centre reception or email hamdden.leisure@conwy.gov.uk of any changes to contact or medical details during the membership period. Facility opening times may be altered, and services temporarily withdrawn for galas, tournaments, exhibitions, repairs, maintenance, or other reasonable circumstances. Notice of such changes will be provided via social media and the website wherever possible. If replacement sessions cannot be offered, credits for cancelled sessions may be applied to future payments. 

We will endeavour to provide the same instructor for each lesson; however, substitute instructors may be used without prior notice. In the event of instructor absence, classes may be merged at the discretion of facility management, which may result in higher class capacity. 

All participants are subject to Ffit Conwy facility terms and conditions. Lessons are subject to availability. Any changes to these Terms and Conditions will be communicated in writing with a minimum of fourteen days’ notice. 

Members assume all risks and responsibility for any harm, loss, damage, property damage, or personal injury arising from or related to the use of Ffit Conwy facilities. Membership may be cancelled if the member breaches this agreement or facility rules, if the membership card is misused, or if staff or other members are subjected to verbal or physical abuse.

In such cases, no refund will be issued. Appeals against cancellation must be submitted in writing to hamdden.leisure@conwy.gov.uk and will be heard in person, with a decision provided within seven days of the hearing date.
